School trip planning checklist: from first idea to departure

A school trip planning checklist should cover the purpose of the visit, named responsibilities, dates and travel, pupils and staff, school approval, parent information and preparation for departure. Use it as an administrative working list alongside your school's educational visits policy and visit-specific arrangements.

What should you agree before building the trip record?

Agree the educational purpose, visit leader, intended group and provisional dates first. These decisions shape the venue, transport, staffing and approval work that follows.

Identify who needs to review the proposal before bookings are committed. Keep provisional costs and dates visibly provisional, and record who will confirm them. A residential or overseas visit may need a different preparation timetable from a short local visit; use the school's requirements rather than a universal deadline.

What should parents receive?

Parents need a consistent explanation of the visit and a clear statement of what they must do. Put dates, departure and return arrangements, required kit, costs and a school contact route together before requesting responses.

Track outstanding responses against the pupil roster. If a parent cannot use the usual digital route, give them an agreed alternative and reconcile the response into the school record. Do not treat an opened invitation as submitted consent.
